1/10/24 Marisa emailed the following evaluation of needs for Adilas:

To be honest, no, we would not be ready to move over. Adilas has quite a ways to go to be ready for the hospitality industry, especially for campgrounds/parks of our size. I would say if you wanted to look at your biggest competitor it would be RezExpert. That is the only software that we seriously thought about switching to but ultimately decided to stick with what we have due to price. Our only cost at this time using Campground Master is $100/year for any upgrades and customer service. 


There is a lot that is needed to make Adilas ready for the hospitality industry including:
  • Full grid display of sites vs. booked reservations vs. available dates (think like an excel spreadsheet style layout with column and rows and customizable color grids for display of current bookings vs. availability)
  • Ability to upload campground site map and secure bookings based on specific site numbers
  • Waitlist options for people who didn't get their requested dates or specific requests on sites or locations
  • Split/move reservations where the customer is booked in one site for X amount of days and then moving to a different site for remaining X amount of days and have those two reservations be linked in some way
  • Multiple reservations syncing where one customer is booking for multiple parties but only paying the deposit for each site, then at check-in the remaining balance is due by each respective party
  • Ability to "block" or "lock up" sites that are currently under maintenance or being held for various reasons
  • Reports: On Site report to list who is currently staying, Arrival report to list who will be checking in on a certain day, and Departure report to list who will be checking out on a certain day.
  • Front end customer booking UI would need to be much more robust and user friendly 
  • In general, Adilas would need to be more user friendly for people of the older generation to work with. Right now, as it stands, it isn't the most user friendly software on the market. A lot of clicks to navigate to certain areas, POS is complicated with too many clicks to get to checkout/payment, and financial system isn't as intuitive or integrative like Quickbooks is (we have the ability to link our bank account(s) directly into Quickbooks and it pulls our monthly bank statement for easy bookkeeping and balancing, as well as setting up rules for automatically categorizing each transaction with a specific Chart of Accounts so all we have to do, is scroll through the import and make sure it looks right and select Verify. It's so simple, it's life changing).
  • Servers would need to be reliable. Right before I stopped working there, the servers were going down quite a bit and with a campground that fully operates based on payments at the time of booking and checking in, it would be necessary. 
  • The cost would need to be lower. As a private RV park whose operations are part-time for each year, our profit margins are already so small that even a monthly charge of $287/mo would be too high for us. That's almost $3,500/year whereas your competitors are much lower. I understand that Adilas is an all-in-one solution but campgrounds only need 4 things to operate...scheduling, client management, POS and financials. They don't want to pay for all the additional "packages" when they aren't using them. 
I hope that this doesn't come off as rude or negative, it's just facts based on what is needed in this industry and for us as a campground to personally make the switch. Especially now that I have been put in charge of managing an RV park of this size and know the pain points of the softwares that are currently out there. The competition is REALLY high with programs like RezExpert, Campspot, Cloudbeds, and Campground Master. Some of these current competitors have been in this specific industry for more than 20 years building and expanding on their products. It's a tough industry to get into when the software isn't designed specifically for it. As I stated, Charles and I did a ton of work to draw up exactly what would be needed to even get a foothold within the industry. It would take hours of work and thousands of dollars but, in my opinion, it will be the only way to bust into that market. 

I hope this helps and I will be glad to continue to provide feedback and answer any questions you guys might have throughout the process.

There was a small break in the project and we had to set it by the side, dealing with funding, and availability. There were a few small meetings and progress, but nothing major to report.

Here are my notes from today's meeting.  I have also added a link to design prototype that we went over today.

The purpose of the meeting was to go over the website layout for WanderWays
I showed them the layout for the home page, benefits page, about us, and contact us page
 
- Marisa and Danny where both very happy with the design, layout and colors as well as the pictures being used
- We talked about leaving the mapping feature off for now
- What color we liked best for the newsletter invite bar
-- We will be using the transparent black instead of the dark gray
- We also discussed content
-- Marisa will be helping to write the content for the pages
- We talked about deployment strategies in regards to putting it on my servers
-- I sent Danny my DNS records so he can point the domain to my servers so I can get started on Development
- We also chatted about photos and getting some more photos that where specific to a benefit such as getting a photo of someone talking to a customer for cloud based

Here are my notes from today's meeting.  Please add to it if I missed something.  Great meeting I thought we covered some great stuff.

Meeting for Wander ways website and advertising.
 
We started the meeting by going over an outline that Marisa put together for content and a site outline
 
Marisa also did research on marketing for our target audience and the different marketing targets that we need to build for.
- We need to make the page for a target audience of the older generation but we need to make sure that the tool and client websites can cater to millennials  and gen xers as they make up about 3/4 of the population of the current campers and prefer technology to talking to someone.
- Marisa also sent out the outline of her research for us to look over.
- We discussed intro verbiage and how we want parts of the tool to be marketed on the website
- We looked over the different benefits Marisa showed us and will add to them if we think of anything else.
- We also talked about the about us page and how to hook in powered by adilas
 
Chuck covered some research he did on some of our competitions websites and selling features
We discussed
- What we liked and disliked about each site and what we would like to see form selling ideas on the websites what to avoid and style.
- We talked about pop ups and list building strategies and decided to include a pop up (main modal that would go away if refused and set a cookie so as to not return) and to have a small one on the side of the page to help with list building. 
-- We want to make sure that all pop ups are both respectful or useful.  For example we talked about how some make you feel "dumb" for not wanting to sign up for their newsletter, or how on some sites pop ups can be overly pushy or annoying.  We want to make sure we are still getting list building but that we are respectful and help the client feel they can trust us.
- Marisa is also going to look into what we can offer in exchange for a potential customers email and content information for help with list building and sales leads.  For example a free ebook on how to maintain or run a campsite.
- We also talked about call to actions on websites
- We also discussed what we can do for testimonials and case studies and how some of them fail (bad website from the client giving a testimonial).
- We decided that we liked ideas from the roverpass website on sales and ideas on style from the campterra example website.
- For color portfolio we are looking at using colors from the wanderways tool to help tie in the website and show off our tool as well
- Danny wanted to make sure on the website we use the verbiage benefits instead of features to help speak to the client on a more personal level.
- Chuck sent out the links to the different websites he researched to help the team with ideas

Meeting notes from Chuck 12/18/2019 11:00 am Brandon Moore
Here are my notes from the meeting today to help keep everyone in the loop. 

Danny and Marisa if you have anything to add please feel free to do so.

The main purpose of the meeting was to update Marisa and Danny on development progress up to this point
 
- We first went over the progress made so far on the front end work, both Marisa and Danny where happy with the progress and excited about how the project is coming and seeing it come to life
-- We also talked about marketing
-- We discussed the need for a front end and allowing customers to be able to reserve online
-- We also talked about release time and the front end as well, specifically that we could release the management tool first to help bring in funds and develop the front end attachment while selling the backend to start helping campsites manage their sites now and then have a promise of future features such as  online booking
-- We also talked about ways to make the front end work and how a WordPress plugin using APIs to tie into the backend would work versus keeping everything on adilas serves.  Using a plugin would allow the client to have their own website and style but still allow them the benefit of using the backend still located on adilas servers.
--- We also talked about how it would be important for the online booking to target the upcoming generation of campers as they prefer to do things online.  But many of the older generation would prefer to call and the backend system will work at launch for these customers
-- We discussed our current competition as well as who our current targets would be for sales.   Including state and national parks, who we would probably not be able to move into,  because of Govt contracting. 
--- Side note on the state parks and national parks, I ran into one of the lead devs who built the system a few years ago at a WordCamp and had the chance to talk to him.  The system they build is based on WordPress so although it may be a long shot to get the state parks using a plugin could help make it an easier transition.  Danny also said that the state park system isn't very good, it's difficult to use.
--- We also talked about some systems that are currently in place using wordpress such as woocommerce booking and campterra
-- We figured that our best current audience would be the current camp sites and resorts that are not govt owned with offers to upgrade their system from camp master and future updates to help them move online
- We finished our meeting with a quick overview of XD features that Danny and Marisa had some questions on

I had a couple of thoughts when I went over the script (referring to a script sent over by Marisa and Danny for advertising). 

On Danny's he took out "as long as you have WI FI", I think we do need to make sure they know that they need internet as we may be targeting some of the older generation and it's not available in some camping locations.  But we should make sure they know need internet, maybe we could say "anywhere internet access is available or cell/satellite access with internet service".  Also on the mobile compatible, we have talked about the Auto Check-in feature, but that wouldn't be available until we have a build out for the front customer end as well, not just the user end that we are currently developing, though I do think this would be nice to advertise what features we are seeing in the near future such as online reservations, auto-check-in and the like.  We may also want to mention the up sales features as a way to help them build their business.  For equipment we could use "works on any device, PC, Mac or mobile Android and IOS, use what you already have!" 

One last thought on the mobile side and this may be a bit out there, as I think it would require an actual app, maybe we could make an app that could be used by anyone using the camp adilas network so that we could integrate geo-location for auto check in.  For example.  Camp site A uses our application and when the customer pulls into the campsite, because we have access to geo-location the app would prompt the customer if they would like to auto check in for their reservation or let the user know that they have a customer coming soon so they know that they need to meet them to escort them.  Aside from a cool feature this could also help with advertising, any customer that has been to a site that is using our tool (tol) and then they visit a site that doesn't and suddenly they can't auto check in (how inconvenient!) they may tell the campsite about how cool it was to auto-check in at the last place they stayed (yea free advertising!), integrate into the app to share the tool with someone and then they can tell the campsites about it.  We could help push the app by having an email sent to the customer when they make a reservation with a prompt to download the app and then list out the features they would get by using the app " such as search for campsites (which our users would like) and reserve online, auto check in, pay online, and maybe even some customer loyalty programs.  I know this would be down the road, but I thought it would be some cool features.

I had a meeting with Marisa and Danny today at 11-12.

Here are my notes from the meeting.

Overall they are very impressed and happy with the new colors and setup of the current layout
 
Updates that I need to do
 
• Marisa is going to think on a better verbiage for the split sites setting.
• Need to add a setting for a waitlist for those who have already created a reservation but want a different site if it comes available.  For example if they are currently in a site with only electricity but would also like one with water and sewer hookups  if it comes available
• A way to merge duplicate records (in case there was as misspelling on a record) - this isn't an essential launch feature but would be nice to have
• Add (FT) behind RV icons on sites to be more specific
• When the check in or out button on sites is clicked it will launch an invoice so the user can see if the customer has a balance and needs to pay in which case it will go to a payment option, or if the customer is paid in full the user can look over the invoice and then email or print an final invoice for the customer.
• I want to redo the layout for the user setting as it's confusing
 
At the end of the meeting Marisa was asking a time table for completion as she is excited to sell it!  I told her "maybe spring, and that I really didn't know".  - hope I wasn't overstepping on that :)  she is really excited to get it out.
