Admin Edit Timecards
This edit page allows you to update, change, or view the history on a single timecard within your corporation. The top section is for clock in and the bottom section is for clock out. Each section must be submitted by it self. This means that the "update clock in" button is for the clock in info and the "update clock out" button is for the clock out section. Even through they are dealing with the same timecard, the forms are not connected. That helps us track the history more precisely.

There is also a lower form to help control the lock status of a timecard. It is recommended that you use the lock timecards report and lock all timecards at once. If a manager does need access, it is ok to unlock the card so that they can make a change. All fields are required (including notes) for an edit. Once a timecard is locked, you will still be able to modify the data. Managers can only modify an unlocked timecard. It is also important to note that any changes you make will be recorded in the history for the timecard. All dates should be in the "m/d/yy" format. All times should be in the "h:mm:ss AM" or "h:mm:ss PM" format.

At the bottom of the page, there will be a history report. If you don't see anything, assume that the timecard is clean and has no history. As soon as you edit the timecard, the history will begin and your name, date, and actions will be recorded.

TIP: The in and out dates must be the same date. The math that is done on the timecards assumes that the in and out dates are the same. That allows the system to calculate things on the fly (just looking at differences in time instead of differences in both dates and times). They, the dates and times, are actually stored in different fields and thus the difficulty in comparing multiple fields on the fly. If the same date is not recorded, an error will be thrown when processing for payroll and you will be required to fix the date issue before the payroll will calculate correctly

Graveyard TIP: If you are having problems with the graveyard shift and keep having to manually update timecards, you may want to make sure that your payee/user is set to the "grave" work shift. If yes, the system is setup to automatically watch for timecards that roll over the midnight hour. If they are set to grave, the system will clock them out at 11:59:59 pm (one second before midnight on the same day) and then clock them back in at 12:00:01 am (one second into the next day). Kind of a double step. If you want more info about the graveyeard work shift, see this news and updates entry. Enjoy.
