Invoice Homepage
This is the main homepage for invoices. The page is divided into 3 main parts, quick reports (charts and graphs), quick stats, and recent invoice information.

The first part consists of statistical graphs and reports that can grab quick values and reports based on a selected time period. There are 6 options for these quick reports. These are thing like year, quarter, month, week, day, and hour. These reports will do a look back based on the date provided (default is the current date). Each report will produce a line graph that shows the total invoice amount for each time period, a pie chart to show the percentage of sales each time period was responsible for, and a bar chart that shows the total number of invoices in each time period. There is also a table included which shows these totals in table data format.

These top reports can be broken down in the following time periods, based on the date provided:
  1. Year - Last three years
  2. Quarter - Last 6 quarters
  3. Month - Last 12 months
  4. Week - Last 12 weeks
  5. Day - Last 30 days
  6. Hours - since the previous morning (yesterday morning - current time)
The quick stats will show invoice sales totals for: so far today, yesterday, so far this week, so far this month, and so far this year.

The bottom right section on the page has the last 15 invoices and basic information to get to those items. This simple list shows the date, invoice number, invoice amount, if the invoice line totals match the invoice amount, if the invoice has been paid in full (special flags), and options to edit or see the invoice history.

Basic Invoice Homepage

This is information for the basic or older invoice homepage. The page is divided into four main parts. They are sub navigation links, main search form, totals, and main search results.

The top part has special links to sub pages and reports. There is also a button to start a new cart. All invoices are created through the shopping cart pages. Once a cart is created and saved in the database, you may add/edit line items, add/edit payments, etc. Once fully submitted, a shopping cart will become an actual invoice.

The main search form is for getting basic invoice information out of the database. By default it will pull invoices within the last 30 days. Any field may be altered to help filter the results. If the search form is hidden, use the show/hide button to show the search criteria form.

1. Invoice Number - This is a quick search for a single invoice number. Enter the number and click the "get it" button. You will be taken to the printer friendly version of the invoice. You may also use the key words "new", "all", and "last" (w/o the quotes) to help with navigation.

2. Customer Name Filter - Enter a customer name in the field provided. The field is flexible and allows you to type and search for any number of characters. For instance, say you wanted to get the last name of "Smith". You could enter "s", "sm", "smith" (whatever is needed to filter the records correctly). The controls below the filter field are to help the application know where to search for the customer name filter provided. There must be something (characters) in the filter field for the customer type fields to work (business, last name, and first name).

3. Invoice Type - Choose from the list provided for certain types of invoices.

4. Location - Choose a location from the list provided to help filter the results.

5. Salesperson - Choose a salesperson from the list provided. If the salesperson's name is not there, try the show all users link and then try again.

6. Stock - Enter a stock number. There is also a chooser that tells the application what kind of stock search is being done. If the chooser is set to "Unit On Invoice", the search field has some built in flexibility and can search for any part of the stock number. For example: Say you wanted to get all of the stock numbers that start with the numbers 110, enter 110 and click the search button. This will return stock numbers like 110, 2110, 11023, etc.

7. Invoice Amount - Enter a specific amount if known. Use numbers and decimals.

8. Payroll Status - Choose a payroll status from the list provided.

9. Invoice Paid Status - Choose from the list provided. This helps filter invoices that either have or have not been fully paid for.

10. Verified - Choose an option from the list provided. The verified date is the date the monies were all received.

11. From Date - Enter the from invoice date range. Use m/d/yy format for all dates. Default is a 31 day look-back.

12. To Date - Enter the to invoice date range. By default, the date type switch is set to invoice date. This switch may be changed to help view verified dates as well. Basically, the from and to dates will be used and will be matched to the date type selected below. Use m/d/yy format for all date. Default is today's date.

13. Date Type - The default is invoice date but may be switched to verified date. The date range above this field is also a part of this setting and allows you to look for either verified or non verified invoices in a certain date range.

14. Keep Criteria Open - This checkbox helps you either keep the search criteria form open (showing) or allows it to be collapsed (closed) after the search is submitted. The default is unchecked which means that the form will be hidden or collapsed. If checked, the search form will remain open.

The sub navigation links will help with related tasks for invoices, taxes, and special searches. The list of links may change due to permissions on a per user basis.

The totals section will show the totals according to payroll status and also according to the records that are returned from the search.

The bottom section is the search results. There may be more than one page of results. Use the go to page number form to switch pages. Each invoice will have a number of links and potential flag to help you know at a glance the status of the invoice.

On the far left of each invoice will be a small thumbnail image. If other than the default image, it means that the invoice has images or photos. If different than the default, you may click on the image to go the invoice photo gallery. This feature and the ability to upload photos to the invoice are tied to the photo management permission.
