AU 873 Daily Ideas 7/13/2012   -We need a couple of reworks on pages:
-We need to add a new upper level on the sales tax report. Make the current report become a drill-down of the grouped data. Maybe 4 levels deep; total group, daily group, invoice group, invoice details.
-We need to add an advanced invoice line items report with pick and choose data and multi search criteria: multi location, multi part category, multi tax category, add an open reference number search, etc. Maybe even multi on vendors and part numbers.
-My cart favorites – we need to pre-select a “use” setting if only one per corp. We also need to add the tax category to the selectable options. I would also like to add small cart info like total, # of items, total qty, customer name and type to the top of the page.

AU 2252 Brainstorming - Planning for Meet the Players 7/13/2012   Planning for meet the players (ideas):
- I’ve got about 40 players
- It might be fun to give stats of some sorts – pretend like they are real people or players (one time I thought of making an actual movie about the players and what each department did and how they interacted. Maybe this could be a prep step for that…)
- Maybe color code things like:
o Actual item – yellow
o Buddies & subs – green
o Flow (normal) – blue
o Flow (special) – purple
o Financial – turquoise
o Operations – black
- Maybe a what do I do? What’s my job? How am I used?
- Maybe a diagram of the pieces or sub pieces and 1-many relationships
- Plan out what the sub menus for the map might look like
- We could actually do a flash movie on flow, friends, and pieces
- How could we standardize the process?
- I’d like to use the map as much as possible
- I may have to redo this whole section once the actual map gets done.
- I could actually do the map and then do these pieces… the only problem here is the extra two to four weeks of development… the actual map would be really cool.
- Maybe just prep everything that I can… at this point, then once the full plan is done, bust it out. Treat this like the visual prep or plan for the actual thing.

1. We need a global function that will switch between "auto" and "old" on the costs... (currently the value "old" does not exist as a keyword).

AU 874 Daily Ideas 7/19/2012   -Sales tax – we need to start on the location homepage. We need to assign real vendors, real expense types and real user-maintained balance sheet items. The key is the location - that is tied to tax settings, that is how it is recorded and collected, that is how it will be paid out. If any more questions are needed, talk to user I discussed tax information with.
-On duplicate PO’s – we need two new adjustments and options.

-If we are going to do data mapping, we need to be able to do real-time mapping from players, by dates, with possible complicated relationships that may have one or more variables. Adi 397 B.S.I. & PO's - Balance sheet challenge - Special line items 7/20/2012   On the PO side we need special lines that are not inventory and hit Expenses ...... such as Freight and Shipping or Discount.

Here are some ideas for the record... 1. We could add some new corp-wide settings to the special line items on how to play on PO's. 2. We could allow for more than one way to categorize the PO payments. This is kinda weird because we are talking about PO payments but the real issue is the E/R line items that have the different expense types and the tie-in to the correct PO numbers.

Anyways, one idea would be to virtually gather up the special line items and hold them in a special spot (virtual holding place or account) until they get correctly booked on an expense/receipt. Once they get correctly booked, they could be moved from the virtual to the main. The trick here is knowing what is what and what has been successfully recorded in the correct place. Not impossible but it could be a little tricky...

Another idea is to transfer the payables burden to an E/R or a split instead of a PO. How this would work is as soon as the PO was entered. It could make an E/R for the correct expense types. It would virtually pay off the PO and leave the new E/R as unpaid. That way, the vendor still shows that they need to get paid. The PO would be shown as paid, but the real value was transferred over to splits instead of PO's. It might sound more complicated but it would solve the disconnect we are experiencing right now. Maybe we could even add a quick link that said something like "book it" and it would flip it from the PO level to the split level with all of the correct assignments. Virtually help the user get things going in the right direction. Anyways, just some ideas... :)

Adi 400 Users & Permissions - over all grid 7/26/2012   It might be nice to see a grid of all users and all permissions at the same time. Think general overview.

As a side note, it might also be cool to see the permissions in the map layout as well. That might make it more intuitive and easier to give the permissions out.

Adi 401 Bank Stuff - Possible liability and equity banks 7/26/2012   This is more of a question... Do we need to allow a bank to be a liability (like a credit card bank) and/or equity bank. Currently, banks are only allowed to be on the asset side. Somewhat of a balance sheet question.

Adi 402 Payroll & Invoices - be able to back tie exact invoices to exact payroll 7/26/2012   We need to tie-in to each invoice for payroll. This helps show the underlying details of the numbers. This could be a one-to-many. It may also be cool if we allowed look-ups to be saved or viewed after the fact. The current process does things on the fly and then it may be impossible to get back to those exact numbers and/or invoices. It may also be cool if we could pull these reports at any time and save them as pdf files. The other idea that goes along with this is to have a new payroll status of "Paid" and then the one-to-many as far as what pay stub they are tied to.

Adi 403 Parts - one-to-many between parts and prices 7/26/2012   We need a dynamic one-to-many on parts and prices. This could be in the cart mode, from buttons, as an extra step, done in bulk, etc. This could be done per customer, per customer type, on a date/time range, sales, or other settings. This may end up getting tied to sales and promotions. What about coupons, promotions, sales, events, contracts, etc?

We do have smart group buttons (tiered pricing) but it may not be dynamic or robust enough...

Adi 404 Training - Simple drawing & coloring book 7/26/2012   I went to a doctor's appointment and the doctor drew us a small picture and then explained it. He said that he was a visual learner. He also said that he used a simple coloring book to draw body systems and connections. Basically, he simplified each and every process, color coded it, and made his own notes. Because he could see it, he learned it.

I was thinking that I could use a similar process to help teach people adilas (tons of interconnected systems). Show a small graphic of what is going on and then let the people interact virtually. Draw out the process to help it stick. Think about a simple drawing that does - if I do this... or if I have this... I can do this... or the system will do this... full - simple - cause & effect relations.

Adi 405 Time - Labor rates per user 7/26/2012   Dealing with elements of time... We need labor rates per user. This would help figure out total time and total amounts. This may even be a one-to-many between users and processes.

As a side note, what about the pools and assignments. That is already a one-to-many and deals with assignments. Just an idea.

Adi 406 Invoices - Take off the contact info captions 7/26/2012   We got a suggestion from Shari O. that maybe we could simplify the salesperson contact info on the bottom of both quotes and invoices. She recommended that we take off the field captions that tells what the data is. For example: Sales Rep: John Doe - maybe just put John Doe. Just an idea...

Adi 407 Settings & Security - IP filters on logins, clock in/outs, and other pages 7/26/2012   We need to implement an IP filter on logins, clock in/outs, and other pages. This may also include training, elements of time, full access, etc. The beauty of adilas is access from anywhere... That is awesome and we love it but some people want more control. They want to limit who gets to play and from where... That is understandable... :)

Adi 408 Theory & Concepts - Use like things together 7/26/2012   This is a concept that I would like to see used inside of adilas... Like things seem to work well with each other. For example: you use gum to pick up gum, use tape to get off tape, use custom to do custom things, use standard to do standard things...

Basically, instead of making everything super flexible and custom... maybe make a standard flow and/or process and then allow users to go to a custom section to do custom things. Keep it kinda separated.

Adi 409 Corporations & Customers - Create a cross tie between them 7/26/2012   I added a new customer_id field to the corporations table. It is not currently in use. This is not a field for everyone. This would be set and maintained only by adilas. This would help with reverse look-ups and stats per customer and/or corporation. Once again, this field and/or relationship would only be for adilas.

Adi 410 Settings - Personal - Customize the whole thing 7/26/2012   We need to be able to customize the whole thing... keep the data and flow but allow for reskinning, reconfiguring, or special usage. A possible future project could be to create a web service interface where users could mix and blend bits and pieces as needed. All of the functions and data flow processes could be mapped and then allowed to be mixed and blended. That would be pretty powerful.

What if... we combined the my cart favorites with the build your own custom reports section. This would be this page, these settings, this name, this sort category, etc. Basically, take the old mend and repair concept and add it to the my favorite links and buttons options.

It seems that everything is going in to a personal setting-type structure.

We also had the idea to include these favorite buttons and links in the interactive map and also as a standalone page of special buttons (one of three main nav pages - classic, interactive map, or my favorites).

Adi 414 Parts & PO's - Update inventory counts - Clean off the dust 7/26/2012   There is a known issue on the inventory tracking stuff (update inventory counts)... Some of the issues are splitting quantities (5 decimals), rounding error at the 5 decimal level, and inactive parts and items.

We need to be able to show quantities, potential problems, and be able to clean off or dust off the shelves. Maybe provide a report that shows inactive products that still hsow a quantity...

Adi 417 Time & Reports - Mini pop-up window or calendar icon and data overlay 7/26/2012   This is divided into two main sections. One is a mini popup window that is tied to the main elements of time calendar. The other is a mini icon of a calendar that allows for any data to be displayed in the calendar type report.

Option 1. Mini popup window... Maybe have a mini time pop-up version from the calendar and time slot view... show notes and other important info. Then again, it might be just as easy to have them click to see the full details. This was just an idea.

Option 2. Icon and mini calendar page where any system data could be overlaid on top of a calendar... What if we had a calendar icon at the top of the page (by the view cart or customer queue icon). It would be a general calendar in mini for the year or the current month plus the next two months (by default). It would have a from month and from year and a to month and a to year option. It would have a link or a button to overlay any other data on it... The overlay section would allow a user to select what data they wanted to see on the calendar. It might require more than one step but would allow for grouped and detailed results. The main difference is all of the data would show-up in a calendar view or with a calendar overlay (visual structure). You could even make a point and click interface for what should show on the report. The report would then have drill-down links to the underlying details or reports by day.

More ideas for option 2... The basic settings could have a basic date range (from month/year and to month/year). It could also have a three way basic choice of what to see. The default would be a "general or blank calendar" (open or unfilled) with dates (months and days). The other options would be "my personal calendar" and "advanced - data overlay". The my calendar option would return the date rage range with only items that were assigned to the current user. The advanced - data overlay option would take the user to a new page and walk through a small process to virtually ask "what do you want to show on the calendar?". The advanced settings may be a couple of steps depending on what they want to see. The idea there is to choose an application type (time, invoices, po’s, e/r’s, deposits, quotes, parts, customers, vendors, etc.). The next step would show all of the possible fields and then prompt for any filters.

The little icon and mini calendar (2 of the 3 pieces) were launched on 9/14/12. The advanced calendar overlay is still under construction, but the other sections were launched.

Adi 419 Tools - Customizable label maker 7/26/2012   Request from Kelly Whyman for a customizable label maker. With drop-downs, dynamic fields, logos, colors, etc. She mentioned inventory items, flex grid fields, dates, times, quantities, prices, PO #'s, invoice #'s, customer info, etc. She would also like to see different sizes and layouts. Basically, make a dynamic custom built "savable" label and then use it over and over again. The data would know where it needs to go and how to do the mapping.

This doesn't have to be in Flash... it could be a mini HTML page or mini webpage or sorts. This could hold images, have colors, and be specific sizes as well.

It would be cool if we could make assignments to main application types and then build custom mappings for that type. It would be cool to be able to save these settings and be able to name them (code once - use many). Basically, a custom one-to-many between application types and fields or values. It may also be cool if you could hardcode a value or let the system show an option (custom drop-down box). What about custom stuff like sizes, logos, yes/no options, special fonts, colors, font faces, and custom positioning or placements. All good stuff.

Adi 422 Shopping Cart & Invoices & Tools - New discount button from the view cart page 7/26/2012   We need a new button that is available from inside the shopping cart. It would help direct all cart users to a common place. Currently, you can apply discounts per line item (in the edit mode), you can add one manually (special line items), or you can add one to the cart as a whole (profit and discount calculator).

What we need a mini app that has a button right from the main view cart page. It (the mini app) creates a point and click interface for the cart (just the line items). You could then apply a discount to the entire cart (all items would be clicked) or you could pick and choose which items get the discount (only select one or more items). Keep the interface slim but allow for dollars off or percentage off. Use some java-script to show some of the local calcs so that they know what is going to happen before it gets applied.

Dummy things down and make it very button friendly. Make it obvious and easy!

Adi 423 Corporation - Trim down the getCorpWideSettings method 7/26/2012   The getCorpWideSettings method is getting pretty big and is being used quite often. Maybe we need to add an app_type_id filter to help only pull certain things as a time. You could still get everything, if needed. However, most of the calls are very specific to certain app types. Adi 425 Time & Reports & B.S.I. - Date flow... 7/26/2012   Dates, how they flow, what they mean, where are they located, etc. This information is becoming more important. Funny how it comes back to "time". It is like we have been missing that all along the way... :)

What if we used the calendar interface to show any time related report inside of adilas. This could be expenses, customer birthdays, sales, etc. Use the calendar as the back drop for all of the data inside of adilas. See element of time # 417 for more info on the general calendar overlay idea.

Elements of time have four different report types and you are able to flip/flop between the report types. They are calendar, time-slot, details, and groups.

This is a little deeper, but what if we allowed the line items (e/r's, invoices, po's, deposits) to be controlled independently by date. Currently, we force the line items to the master or main date and keep everything flowing together. This could have an effect on the balance sheet...

Adi 427 Time & Parts & Stock/Units - Rentals/Reservations 7/27/2012   Now that we have elements of time. We need to build out the rentals sections for part numbers and stock/units (and other things). This will end up being done through a sub of time called: Additional Tie-In's/Assignments/Pools ("any" person, place, or thing) - Subs.

Each part, location, or stock/unit would need to have a floating window where you could see reservations and usage during those windows. It would be cool to show the info in a mini calendar-type view. It would show used and unused dates so that a person could see the availability at a glance.

As a side note, it would be really cool to tie this rental and reservation process to the eCommerce side of adilas.

On 9/14/12 we added a mini calendar to the whole application as a mini icon. When ready, this might be a good page to grab code from to help with the reservation process and the visual display of what dates are reserved or spoken for...

Adi 428 PO's & Shopping Carts - Make a PO cart 7/27/2012   Just an idea... What about a build and hold cart type that (able to use recipes, buttons, advanced add to cart) ends up being output as a PO (internal build) instead of a quote or an invoice. We have tons of cool features already built in to the shopping cart interface. What about a general PO cart... ordering... saving as a quote/request... We could also do duplicate the cart functions (in reverse) for orders and PO's. The original ideas were for build and hold PO's (internal builds) but this could be adapted to any PO structure or type.

Adi 429 Cart - Hide the edit options 7/27/2012   We may need a new permission to limit the edit options from inside a cart. We have had managers tell us that they don't want any of their employees doing any kind of edits. They want it really tight (at least what it looks like). This same permission may be just a level deeper. Meaning - a hidden edit mode. It is still there, just hidden until asked for.

Adi 431 Time - Pre-set a couple of templates 7/27/2012   We may need to pre-set or make a couple of basic master time templates for each corporation. Most people want to use the elements of time and the calendar but they don't want to deal with the master time templates and setting things up. A couple basic templates would be a quick sticky note or a client or customer schedule or appointment. If they want more, they are able to setup and tweak their own templates.

A small patch was added mid October 2012. All existing corps and all new corps will get at least one active template (default sticky note type template). They may add and adjust as needed.

Adi 434 PO's & Stock/Units - Open up the payment section 7/27/2012   The PO and stock/unit payments may need to be opened up a bit. They are currently kinda hidden. We need to be able to track backwards, check and change dates, and make sure things go where they are supposed to go. Maybe tie to the payables admin permission. We need these payments to show-up and be searchable.

Force payments are also a known issue and may throw things off. We need a way to track whether or not an item was forced paid off. Help the users get at their data. We also need to look in to how this affects other pieces in the system. Think cause and effect relationships.

On 8/3/12 a small fix was added to the system to help with updating PO and stock/unit payments. The new code does not fix this entire entry but it does help with matching and tying main expense/receipt dates to the payments (PO, stock/unit base price, and stock/unit floorplan). New code was added on the add/edit receipt and add/edit check request pages. The edit expense line items page was also updated with new watcher code. In essence, the new code will force the payment dates to match the main expense/receipt date.

On 8/24/12 we added a new column to the advanced PO search results. The new column has the payment count and the payment sum or total. This was in an effort to find forced paid PO's.

Adi 435 Web & Customer - Show big photos quicker 7/27/2012   On the customer website... When a thumbnail photo is shown, it takes the user to the main photo gallery instead of the big photo. We had a request to go right to a big photo instead of the gallery where they have to click again to see the big photo. Not really a big issue but I wanted to log it.

Adi 436 Parts - Internal rework of a couple of parts pages 7/27/2012   This is on a tech or backend side of the parts pages. We need to simplify the ability to get to the parts detail page and the add/edit parts page. They currently have 5 to 6 URL params that are required to be passed in per page. It would be really nice if all we had to do was pass in the part id number (1 param) and the page would figure out the rest of the details.

This may not seem like a big thing, but there are tons and tons of links throughout the site that already pass all of the extra URL params. It would be a pretty good clean-up project and might take a couple of days.

The reason for the change would be to speed up future development. If we went to a smaller requirement on the pages, it would be easier to link back and forth to those pages.

Adi 437 P&L - Reports - Link back to the starting page 7/27/2012   We need a link on the printable_income_statement.cfm page back to the start page. Maybe even a refine your search button to pass values back to the correct page (either basic or advanced). I have needed this feature when looking at a balance sheet and clicking on the net profit. I either want to see more or less detail but then I have to almost start all over again... it would be cool to allow the user to jump in and get at what they are looking for quicker.

Adi 438 E/R's & Reports - Grouped E/R line items report 7/27/2012   We need the ability to group expense/receipt line items by vendor/payee and by types. We currently can get at individual line items but they are not grouped in any way. It would also be cool if we could export these groups to MS Excel. It might also be cool to show some aging of the expenses.

Once again, help the users get at their data as quick and efficiently as possible.

Adi 439 Training & Ideas - What's new section 7/27/2012   We need to provide better updates on what is new, what has changed, where we are headed, and where have we been. We have a section on the interactive map called "Ideas & Sharing" this would be a perfect spot for mini-blogs, updates, new releases, etc. The page is setup to use elements of time as the background source for the data and info. It could have user forums, bug tracking, feature requests and wish lists, etc.

Things change constantly, we just need a way to let people know about it. We could also use the main homepages and login pages to help point people to the what's new section (ideas and sharing).

Create a culture of change and progression. Change is good!

Adi 440 Flex Grid - Set data types on custom fields 7/27/2012   We need the ability to set specific data types per custom fields in the flex grid tie-ins. These are things like text, dates, numeric, decimals, boolean (yes/no), etc. That way we could do calculations, search date ranges, do aging, hold real money values, etc. Currently all custom fields are stored in text fields which do not allow certain functions.

Just an idea... We could run data through a conversion type function (force apples to apples) and then do some sorting or filtering. We could also create and use temp tables if it got to that point (convert, filter, report, and then destroy the temp table). This could be done over and over or we could figure out a more permanent solution. My goal as the developer would be to make the solution be as light as possible so that every record didn't have to carry a huge extra data burden (potentially tons of unused fields, flags, and indexes). Keep it light and quick... :)

Adi 444 Web & Customer & Corporations - Make adilas a full-on business platform 7/28/2012   These are some random notes about making adilas a full-on business platform:

- Open the door to the data and how it plays, how it gets connected, how it is shown, and how it is used over and over again.

- I love the word "upstream" - what is the source? What feeds what? How does that effect things? Where is it easiest to control?

- We keep getting great ideas but I and/or our existing pieces become the bottle neck - What if we rebuilt with platform in mind...

- Imagine the main adilas code block in the middle of a page (this is kinda a verbal description of a drawing in my notebook)... From the main code block there are arms or branches extended to the following options (it is quite big): Hardware, Info/Resources, Training & Setup, Government, Shareware/Freeware, Commercial, eCommerce, Education, Software, Custom Look-n-Feel (skins), Nonprofit, Mobile or Mini, Web, Standalone Apps, Businesses (sm, med, lg, xl), Webservices, Personal, Marketing, and Library. - There is also a small note next to the drawing that says - Don't get stuck here (meaning the list provided above)... Think unlimited entry and exit points.

- The goal is to create, define, provide, build, re-use, and create a culture that embraces change, thoughts, ideas, concepts, and flow...

- Allow people to create their own uses of the system. This means provide a core per-built structure. However, if people only need 3 out of 20 options... Let them put that together in a custom wrapper to meet their needs.

- Think about a global library of functions, logic, data, and mappings.

- Create a buffet or smorgasbord of options. They (persons - our company - other company - teams - individuals) could pick and choose at will.

- Allow different pieces (already defined or new pieces) to play in any one-to-one or one-to-many relationship. For example: We have vendors, elements of time, and expense/receipts however, they are not currently tied together... If I had a shipping and packing company it might be nice to know who (vendor) is coming in today, what do they need (invoice), and what are they bringing (po's and expense/receipts). Imagine being able to virtually morph or create dynamic relationships between the different players through a standard "re-skin-able" interface.

- All the players already exist (or may be created) and then you put them in to play by defining rules, params, scopes, and functions. You get to name them, use them, whatever.

- Our current system is already built with data components (ColdFusion CFC's) and logic pages (searches and reports). What if we allowed others (on our own little sister company) to get at any of those pieces. Once access is granted, the sky is the limit on what pieces could play or piggy back on one another. Get as many or as few as are needed.

- I see it as the main "adilas" is the pre-built or canned version. We keep adding permissions and settings but keep a basic and constant flow. If a new wrapper is needed (custom look, feel, function, relationship, process, steps, etc.), allow that to happen without causing problems upstream and/or downstream (cause and effect relationships).

- This may not fit here... but what if all data was returned as a standard like XML or Java (or whatever else new comes out) and then is consumed by whatever type of application that calls it. The end goal is call, crunch, server, apply, do it again.

- On a different note... what if every function or method call had a user id, corp id, and app id. Every function could also pass its data to a converter function. The converter function would get, check, interpret, and then send the results back. The original method call would return the native format by default. However, if a different format was needed, it could translate the output to that format.

The incoming values would also need to be standardized. So that flow back and forth would be possible.

- A full rewrite from the ground up may be required. That would be a couple steps backward to make huge and giant leaps forward... :) It wouldn't be the first time... (meaning a full re-work)

- Security, mobility, and built with growth in mind are huge keys.

- Currently built in Adobe ColdFusion & MySQL databases. It could literally be built in ColdFusion, Java, PHP, ASP.net, Ruby, Visual Basic, Access, Flash, ActionScript, java-script, Flex, you name it... I think the more the merrier... Oracle, Microsoft, Apple, Unix, Web-based, App-based, Software, Firmware, Hardware, Freeware, Shareware, etc.

- Expose the code, the logic, the theory, the formats, and the experience to the world...

- As long as things are being expanded... What about languages? Computers? Operating Systems? Countries? etc...

- There is enough to go around (info, resources, ideas, etc.)! Share with the people. On a similar note... I just read a cool scripture today during my study... it was 2 Kings 4:42-44 (pg. 513 in the Bible)... it is related to the topic of sharing and giving to the people. After it is given to the people, there is still plenty for the original party.

- Another quick idea... How cool would it be to overlay a calendar view on everything that happens in the system. Elements of time have groups, details, calendar, and time-slot views... Think about everything at one of those levels.

- Random other note... If we were to expose this stuff to the world... We should video tape the presentation and then send that around to different colleges around the world. I'm thinking that the college level is the entry point for new and creative thinkers and future business leaders. It may branch out from there... but that is where I'd like to focus first. Post the videos on adilasuniversity for the world to see.

- Plan it out, break it up into pieces, and even provide code samples...

Adi 445 Customers - Gift cards and customer credits 7/28/2012   Gift cards... It could be as simple as a section that creates the card (name, number/identifier, optional customer assignment, use expiration yes/no, etc.). It would also need a sub section for adding (loading the card) and subtracting (using or paying with the card). These cards would need to go all the way out to the accounting side. The other key would be to be able to search, get amounts available, be able to subtract from cart or invoice checkout (payments) and be able to fully close them out. We would need a quick search option, a gift card/credit homepage, and look-back page.

This is somewhat related to gift cards but what about general credits for customers. They virtually are the same thing as a gift card but with a different name and must be tied to a specific customer. Other than that, they are pretty close to the same animal... :)

Adi 446 Invoices - Add a printable label option 7/30/2012   We have had a request that once the invoice is created and the mini invoice (customer receipt) is showing, that we could print off labels for the line items with specific data. This was an MMJ requirement at one time. Not sure if it is still needed or if the users have figured out something else. This is almost to a pharmacy level of labeling bottles and prescriptions.

Adi 452 Stock/Units & Manufacturing - Ability to produce parts or offspring 7/30/2012   On stock/units... we need the ability to have them produce child inventories (new items and/or new stock/units). This is a form or sub of mini manufacturing. This could be breaking things up, duplicating, multiplying, harvesting, growing, or even a "chop block" or cutting into smaller pieces. All of the new items would need to be sellable pieces. Start with something and then have it multiply or divide into something else.

What about renting or borrowing from a master stock/unit? Does it totally go away or are we able to use it again (maybe even over and over again)? What does the word sell or sale mean (with regards to availability)? Do we need to use a different word?

What about recipe/builds, internal invoices, or PO's tied to stock/units. Just some ideas... Maybe part of a build and build recipe or a reverse build of sorts...

Adi 453 Reports & Time - Add a mini calendar helper to date fields 7/30/2012   We need a mini calendar app or icon to help on some of the date fields (where dates are entered). This little helper would allow a point and click interface to help fill in and select dates. This would not be required but would help show, select, and fill in dates if used. I'd like to have this as an extra, non required option or tool.

This may be somewhat unrelated, but we would like to create a mini calendar icon of sorts that allows users to look at any date/times they need to. We would even like to allow them to overlay any data that they want on to the calendar type report view. See elements of time # 417 for more info.

On 9/14/12 we launched the mini calendar icon and mini calendar page. The calendar overlay section is still under construction but progress is being made.

Adi 454 Parts - Sub categories & part number attributes (grid) 7/30/2012   On parts and general inventory items... We have been asked about having multiple categories and sub categories. Currently we are using either the reference field or the RFID tag field as a text copy of the categories. For example: Say a main category was shoes. A sub could be shoes:men or shoes:woman or shoes:youth. A text search of shoes: would get all three of the other categories.

We have also been asked about a part number grid (grid items) to hold values or attributes like colors, sizes, sub types, options, etc. This would be great for items that are generally the same other than color, size, or graphics. Currently, the users are required to have each part number as an individual item. For example: t-shirts white large, t-shirts black large, t-shirts blue medium, etc. Or the users could create a group such as t-shirts assorted or t-shirts medium.

Adi 455 Quick Search & Reports - Google-type search features 7/30/2012   We have had request for more flexible "google-type" searches. These are called regular expressions or we can check for spaces and build our own lists or array searches. Basically, the users want the system to be smart enough that it matches values on more than one word or phrase. This gets kinda crazy and we may need to filter out basic words like "the", "a", "an", etc. General Example: a search for black t-shirt, gets things with black, things with t-shirt, and things with black t-shirt all ranked according to relevance and number of matches. This could get pretty tricky.

Currently, all we do is match using SQL "like" clauses and then we try to match possible multiple fields to get a partial match.

Adi 457 Recipe/Builds & PO's & Parts & Invoices - Be able to add a new part during the build process 7/30/2012   On build PO's and build and hold recipes, we need a way to add a new product (with a variable vendor - may not be the current vendor) while in the build PO mode. Currently this is not allowed and requires the user to first prep and create the new part number or placeholder. They then have to go back to the build PO or recipe and add (use) that item. Basically, it is a minimum of a two step process. They first need a live PO to create the new item (placeholder) and then a build PO (or invoice) to use it... it would be nice to have it all wrapped up together in a single step.

These are recorded as the customer log reason and/or subject field. Currently they are held in the contact_types table. All we would need to do is add a corp_id number and add/edit interface and it could be done.

Adi 459 Training & General - Break things into tiny chewable pieces 7/30/2012   This is a general concept to help when things are huge and big... Think mini projects and try storming... Do things in miniature first if needed (like the toy level vs. the real thing). Instead of doing everything all at once... break it up into mini steps (rounds) or try storming sessions. This makes it a lot more chewable and allows for circling back around as things develop. Purposely release in phases.

Adi 460 Parts & P&L & B.S.I. & Reports - Internal Cost Corrections (ICC's) 7/30/2012   We are seeing a need for a thing called an "Internal Cost Correction" or "ICC's". This deals with corrections to cost of goods sold and inventory values.

This is a new concept that was found by Kelly Whyman and Steve Berkenkotter as they were helping people get their inventory values and numbers correct.

The inventory values are figured on adding up the quantities in/out and then taking the costs in/out to get the value (we call that a stepped actual costing method). If either side is off (quantities and/or costs) the numbers are not exactly correct. This disconnect means "some of the parts get to ride" meaning that their value was either over or under stated as they were pulled out of inventory. Many accounting system use an average cost to accomplish this disconnect. That becomes a never-ending changing variable and doesn't allow us to pull a balance sheet with any level of accuracy (literally a shot in the dark because of the variables that could change at any given time). The goal would be to have tools that help update either side. The logical place to do that is either on a PO (update po for quantities) or on an invoice that only holds cost of good sold.

Steve & Kelly want to use an invoice depending on whether the cost needs to go up or down... The invoice would use a -1 (negative one) or a +1 (positive one) on the quantity field. Each entry would have two lines. You would then adjust the cost accordingly (up or down). Pretty creative. The price on both lines would be $0.00 making the price of the invoice be $0.00. Doing it this way only effects COGS and does not effect inventory because a -1 plus a +1 = 0 on the quantity side. Basically it becomes an internal cost correction invoice that only carries the cost of goods sold (no revenue, no taxes, no receivables, no payments). The quantity is unaltered and we are able to virtually push the cost up or down according. Pretty cool! It is kinda like selling the quantity of 0 at a actual cost that shows up. That would be impossible except for the -1 + 1 = 0 logic. Read on for more ideas and notes about the subject.

Here are some random notes on the subject. No particular order... some of these notes were written down before we decided that an IIC invoice would be the way to go.

- We need a clean-up feature to help with updating cost of goods sold... Basically matching up PO's and costs to invoices and costs. The goal is to catch the pieces that "get to ride" on the cost changes.

- This is location specific, date sensitive, and according to individual part numbers. What we need is a one-to-many relationship from parts to the corrections. We virtually track what came in (po's), what was sold (invoices) and calculate the differences or cost differences between the two. This correction could really help with perfect cost of good sold (GOGS).

- On the accounting side, the cost differences would need to play into the P&L or income statement as part of the GOGS. It would also be cool if they, the differences or manual corrections, would show up under the part usage sections.

- We talked about a thing called watchers and feeders for the balance sheet. This could be things like taxes, collected fees, etc. Why not cost of good sold corrections or differences. It automatically sits in the background and runs logic on items sold vs. items sitting in inventory. This would be cool and would take out the manual portion of this task. If it was virtual, it could be very dynamic but may take more processing power... if it was manual, it would take up more storage space but would be quicker to get to...

- What about correcting per location? Locations play a part of inventory values.

- We've had requests to be able to clean-up old inventory items. This is two fold... 1. COGS and 2. Quantities on hand. Basically, we need a "sweep the floor" function to get everything in order and then really hide the items on the look-back reports (subs of the balance sheet). Even if they are inactive... they still show up if there is a problem with GOGS and quantities on hand.

- On the part number look-back reports (subs of the balance sheet)... maybe add a part number status filter and/or help them clean things up so that is works correctly.

- We has a request to have a report and the ability to delete items (part numbers) in bulk. This would need to set COGS to the correct values and get rid of any remaining pieces (whole or parts) and mark the items as inactive. Do all of this all at once...

AU 877 Daily Ideas 7/30/2012   -On add/edit photo pages – show a total record count. It would be nice to see how many photos or content pieces per gallery page.
-On the update inventory count (PO) we may need to change the logic to an update invoice. PO’s create a payable and then need to be expensed or written off. If an update invoice was used it could still alter quantities and could affect cost of good and be set to a price of $0.00 so that taxes, revenue, receivables and payments wouldn’t be required. It may be a smoother process. (Just an idea, not a must do.)

Adi 20 Training & Interface - Interactive business platform map/touch 7/31/2012   The interactive map/touch concept was first put on paper on 10/11/10 and has been in the works and on our minds for almost two years. Tons of thoughts and ideas have been added to a seven page document that has ideas and concepts dealing with the map/touch interface. The entire seven page document has been uploaded to the history B.S.I. gallery until the project goes live. Ideally, it will be an interactive player of sorts that will act as front-end interface for users to navigate and get familiar with the system.

There is a graphic version (non-interactive) up online from the main switchboard page and from an upcoming concepts page. There is also a special help file that was created to help give some reason and logic for why pieces were placed where they were... Tons of thought has gone in to this project and we can't wait to get it fully going... Good stuff.

Part of an email sent to Steve on 10/29/12 by Brandon. (see below - at this poit the interactive map was still a concept and had not gone past the graphic or mock-up stage.)

What if... you allowed a company to design their own interface and then we just overlay links on top of their graphic. We then show a custom graphic (custom gui) and then we just point it to different things (links). That is the exact same thing we are doing with the current interactive map layout. The only difference is, we made the interactive map as compared with a client making it.

Imagine a set format for the graphic (certain size)... They could then use their words, their buttons, their look and feel, and their graphics. They could make it as simple or as decked-out as they wanted. We could even sell that option as an extra service... We then help them add functionality to their own graphical interface. Each corporation could be completely different and customizable. It could have buttons, links to pre-built searches, quick options, outside links, etc. All it would be is a graphic that gets some custom mapping overlaid on top of it... just like our current interactive map on the bottom of the main switchboard page (just a graphic with links overlaid for functionality).

A corp specific image map or custom GUI interface.

Additional thoughts... What if you took this even further and allowed (or helped) users create a custom flash movie to add interactivity, animation, roll-overs, drag-n-drop, or special menus or sub menus. The goal is not to re-create the whole thing, just add a visual layer to the already existing toolsets. In a way, a virtual landing or homepage for the companies that met their needs.

Adi 461 Stock/Units - Settings - Corp-Wide - Remove all stock/unit references if not assigned 7/31/2012   We need to go through the entire application and show/hide stock/unit fields, settings, and permissions for corporations that don't use stock/units. This is in payroll, expense/receipt line items, quick search, permissions, invoice line items, deposit line items, etc. Tons of reports have columns for stock/units as well. Basically, we need to remove stock/unit info if not needed. If the corp uses that info, show the stock/unit stuff. This could be a fairly big project. However, if may make the interface more simple.

Along with this, we need to push the corporation assignments to the corp-admin level. Currently, it (corp assignments to inventory types) is done on the highest system admin level. That would need to be moved to a lower permission to help provide access to that section.
