AU 2631 Daily Tasks 10/1/2008   • Small code change so that Google map button would work for a client’s site.
• Added new main section images and Flash movies for donate, volunteer, and join. Posted files.

AU 2656 Daily Ideas 10/1/2008   On adjustment PO’s need real prices to be recorded:
- Receive payments

- Receivables by customer
- Payables by vendor/payee

- Add the keyword “Home” to quick search
- On part count = use PO’s and invoices to keep track of counts only update counts when used (on demand) counting. Changed to a PO and invoice date per line items.
- Change parts to part_id in the background.
- Customer based discount (invoices)
- Customer based default tax category (invoices)
- Migrate customers for a client
- Don’t allow splits on a single expense/receipt (no double ups on single pmt)
- Clean-up invoices

AU 2632 Daily Tasks 10/2/2008   • Last minute changes for a client site. Added a podcast button, replaced some text, changed the graphic and changed the Google map it link. Posted files. Invoiced for 70.5 hours.
• Went in to work with Steve on adilas stuff. We did some brainstorming on tons of different things. Talked about balance sheet, statements, grouped payables, grouped receivables, and others. 10 miles.

AU 2658 Daily Ideas 10/9/2008   Things that are needed for receivables: (dealing with mark as receivable field)
- Be able to void an invoice – mark as not a receivable
- Add a payment check when creating
- Add a check when adding or editing a payment
- The mark_as_receivable field is handled behind the scenes
- The manual override is the all monies check box
Questions:
- What is the difference between what is owed (over time) and what has been purchased (over time)?
- Do we want to need a different report or do we keep it the way it is? -No dates – what is still required and how flexible does it need to be?
- How does the drill-down tie into statements?
- Invoices – are they limited to a single statement or may they keep rolling forward if needed? I would imagine that they would be able to keep rolling.
- On a statement, I would imagine that the customer would like to see all activity not just what is owed
- Statement should be from start date to end date plus carry old outstanding items and show aging. Just totals.
- Sketch in notebook: previous balance, new charges/invoices, payments made, new balance, amount due, due date, finance amount, first line will be previous balance

o This could get really tricky due to the fact that many of the main items are subjects of the line items (all the totals)
o Might need a re-calc button for report totals

- Could add some validation to the printable where the main and the line items need to match before it will allow them to pass

AU 2659 Daily Ideas 10/24/2008   Questions for the attorney:
1. We are providing a service – what do we need to do to protect ourselves?
2. We want to help our users know that we provide the tool and they provide the work, data, and time.
3. We don’t want to be responsible for their data and numbers.
4. Somewhat of an as is application.
5. If they don’t like the service – don’t pay us.
6. What if users want to share data between corps? How do we allow it without putting our necks out?
7. How do we protect ourselves from law suits?
8. How do we protect our investment and time? What about processes and someone trying to reverse engineer our application?
9. We want to have protection but want it very simple. Is it better to have no protections or tons of protection? What about the middle ground?
10. What happens if we provide consulting and advice? Does that change anything?
11. Some of our clients want some sort of agreement that we will be around for years to come. How do we deal with that?
12. We use a commercial web host – our deal is the application and the code. The commercial host deals with the hardware, server, data lines, virus protection, etc. Do we need to define lines between us and them or does that expose us more?
Notes:
- Insurance is better than an agreement
- Even if going out of business – guarantee data
- Operating agreement – change internally
- Check with Crystal Tech – on data loss, who is responsible
- Get insurance
- Disclaim liability for forms and usage
- Month’s notice to unsubscribe – at end of month shut them off and assume they have their data
- Provide tools to pull down data into Excel, download their own back-up
- Consulting on finance advice – disclaim accountant and tax advisors
- Recommend that an outside accountant look over the data

• Changed the permission on statements from admin to basic and added salesperson as a sort option for unit sold reports.
• Worked on adding a tie-in on statements for additional customers that were tied to invoices that are returned.

AU 2412 Brainstorming - Main Balance Sheet Ideas 10/29/2008   Main Balance Sheet Items Ideas:
- Owed vs. owned – including quasi deals (on their way – caught in the middle or becoming something)
- Something like a stock # or a balance sheet item
- Multi cross check – dynamic
- New model (where is it really at)
- Classic model
- Dynamic naming, grouping, and types
- Sort order of items, numbers, accounts
- Dynamic over time
- Monitors, flaggers, and watchers (on demand as things change, not every day just because it has to have a reason to record data)
- Pre-calculated totals – speed or reports
- Minimum duality (at least two items or accounts)
- Assets, Liabilities, Shareholder Equity or (owned, owed, invested, ownership, debt, invested)?
- Maybe use invoices, deposits, and expense/receipts as subs of the balance sheet item. What this means is the balance sheet item becomes the master and the sub (inv, dep, e/r’s) need to be fully satisfied (main and line items and payment)

- Deposits = E/R’s + Cash
- Keep it simple
- Mode of accounting:
o Operations – do it (opps) and the system prompts for action (b.s.)
